1. Who we are

Independent Flooring Inspectors ("we", "us", "our") provides independent flooring inspection and reporting services across the United Kingdom. We are the data controller for personal data collected through this website (flooring.report) and our inspection services. You can contact us at info@flooring.report or 07888 448956.

2. What we collect

  • Contact details you submit via our forms (name, email, phone, the property address and any details about the issue).
  • Account details when you register a client portal account (email, password hash via our authentication provider).
  • Inspection data generated during instructed inspections (photos, measurements, moisture readings, written observations).
  • Technical data collected automatically (IP address, browser type, pages visited, timestamps) for security and basic analytics.

3. How we use your data

  • To respond to enquiries and provide quotes (Article 6(1)(b) UK GDPR - steps prior to a contract).
  • To carry out instructed inspections and produce reports (Article 6(1)(b) - performance of contract).
  • To comply with legal obligations including record-keeping and assisting with court or Ombudsman proceedings (Article 6(1)(c)).
  • To run, secure and improve our services (Article 6(1)(f) - legitimate interests).

4. Sharing your data

We do not sell your data. We share it only with:

  • Our hosting and infrastructure providers (Lovable, Supabase, Cloudflare).
  • Email delivery providers used to send transactional emails on our behalf.
  • Parties named in your inspection instruction (e.g. retailer, manufacturer, court, Ombudsman) where disclosure is part of the service or required by law.

5. Retention

Enquiry records are retained for up to 3 years from last contact. Inspection reports and supporting evidence are retained for at least 7 years to support potential legal or Ombudsman proceedings, after which they are securely deleted unless we are required to keep them longer.

6. Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict or object to processing of your personal data, and the right to data portability. To exercise any of these rights, email info@flooring.report. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).
